Develop your Faculty-Led Program with CEPA

Get started step by step

A successful faculty-led experience for both undergraduate and graduate level students is based on an organized planning process, professional expertise and logistics, and a well-thought out itinerary. The outline below explains how we approach the process, working with you on a personal level, every step of the way.

1. Program Planning (begins 4-12 months ahead of time)

Let's collaborate! The first step is to decide where you are in the planning process?

Are you just starting out and have a great idea
but need some ideas and inspiration?

Do you already have all of the details for your program
and are ready to request a formal proposal and quote?

Submit the CEPA Request for Proposal Form (RFP) online. We also gladly accept a request for proposal by simply sending us an email to info@cepa-abroad.org

2. First Proposal (sent 2-3 weeks after your request)

This proposal is the basis for further collaboration and revisions until we agree on a final program outline and proposal.

3. Program Quote and Booking Agreement

When everything is finalized by both of us, you will receive the final program itinerary and booking agreement for you and/or your institution to approve, sign, and return.

4. Promotion, Recruitment, and Enrollment

Faculty member(s) leading a program are the most effective recruiters! Students respect you as faculty and mentors and therefore you play a significant role in the recruitment process. Upon request, we can support you with promotional assistance, such as a flyer, poster, and/or power point presentation for your program as well as the attendance of a CEPA representative at your study abroad fair or orientation session.

5. Participant Confirmation (no later than 90 days prior to departure)

The deposit and minimum number of participants is required no later than 90 days before your departure date. If the minimum group size is not met, we are flexible and will work with you on modifications to avoid cancelling the entire program.

6. Organization and Fine-tuning

You will receive a tentative itinerary in order to finalize the daily schedules, visits, and lectures. We will ask for your participant and emergency information as well as collect final payments. Assistance for your pre-departure meetings with students can also be provided.

7. Finalized Itinerary (sent 2 weeks prior to departure)

You will receive the comprehensive itinerary with detailed, day-to-day schedules that includes all relevant information for you and your students.
