A successful faculty-led experience is based on an organized planning process, professional expertise and logistics, and a well-thought out itinerary. The outline below explains how we approach the process, working with you on a personal level, every step of the way.
1. Program Planning (begins 4-12 months ahead of time)
Let's collaborate! The first step is to send us your course description and academic goals, along with all of the details, e.g. desired travel dates, estimated group size, preferred locations, etc.
You can either complete and submit the CEPA Request for Proposal Form (RFP) online or you can download, complete, and send us the paper version by email. We also gladly accept your own RFP, email with suggestions, course syllabus, etc.
2. First Formal Proposal (sent 2-3 weeks after your request)
This proposal is the basis for further collaboration and revisions until we agree on a final program outline and proposal.
3. Final Program Proposal and Contract
When everything is finalized by both of us, you will receive the final program proposal and contract for you and/or your institution to approve, sign, and return.
4. Promotion, Recruitment, and Enrollment
Faculty member(s) leading a program are the most effective recruiters! Students respect you as faculty and mentors and therefore you play a significant role in the recruitment process. Upon request, we can support you with promotional assistance, such as a flyer, poster, and/or power point presentation for your program as well as the attendance of a CEPA representative at your study abroad fair or orientation session.
5. Final Participant Confirmation (no later than 90 days prior to departure)
The deposit and minimum number of participants is required no later than 90 days before your departure date. If the minimum group size is not met, we are flexible and will work with you on modifications to avoid cancelling the entire program.

6. Organization and Fine-tuning
You will receive a tentative itinerary in order to finalize the daily schedules, visits, and lectures. We will ask for your participant and emergency information as well as collect final payments. Assistance for your pre-departure meetings with students can also be provided.
7. Final Itinerary (sent 2 weeks prior to departure)
You will receive the comprehensive itinerary with detailed, day-to-day schedules that includes all relevant information for you and your students.
