How to develop your faculty-led program with CEPA
Take the first step and contact us
Are you already planning your own faculty-led program and would like to receive a proposal from us? The first step is to send us your course description and academic goals, along with all of the details, such as desired travel dates, estimated group size, preferred locations, etc.
Please choose an option which best fits your situation and where you are right now in your planning process:
You have great ideas but might have questions, need further advice or want some guidance to bring everything together in an itinerary.
Program Development Process
We work with you every step of the way.
Ideally, the planning process with CEPA begins 8-12 months prior to your departure date.
Receive your first proposal (approx. 2-3 weeks after your request)
This proposal is the basis for further collaboration and revisions until we agree on a final program outline.
Booking (acceptance of proposal)
Once we have agreed on a final program outline, please sign the Booking acceptance on the last page of the proposal until the date listed in the program fee section and return the signed proposal to us.
Promotion, recruitment, and orientation
Faculty member(s) leading a program are the most effective recruiters! Students respect you as faculty and mentors and therefore you play a significant role in the recruitment process. Upon request, we can support you with promotional assistance, such as a flyer and/or poster as well as the attendance of a CEPA representative at your study abroad fair.
Student orientation is also a critical part of your students’ learning abroad process. It provides necessary, practical information and helps setting students’ expectations.
Confirm your number of participants (no later than 90 days prior to departure)
The deposit and minimum number of participants is required no later than 90 days before your departure date. If you cannot meet the minimum group size, we are flexible and will work with you on modifications to avoid cancelling your entire program.
For information on our cancellation policy, please check our terms and conditions.
You will receive a tentative itinerary in order to finalize the daily schedules, visits, and lectures. We will ask for additional information, such as the participants list and emergency information as well as collect final payments. Assistance for your pre-departure meetings with students can also be provided.
Receive your finalized itinerary (2 weeks prior to departure)
Congrats, we are ready to welcome your group!
You will receive a comprehensive itinerary with detailed, day-to-day schedules that includes all relevant information for you and your students. Please share it amongst your students.
